Position Overview
The Development and Events Coordinator assists with development operations, giving programs, and all fundraising events such as the Visionary Dinner and Solstice. This position reports to the Director of Development. Responsibilities for the position include but are not limited to:
Events: (60% of time)
Under oversight of the Development Director, ensure that all Southface events are executed to highest caliber.
- Events include Visionary Dinner (annual gala), Summer & Winter Solstice (member recognition events), Membership Networking Events, Alumni Gatherings:
- Coordinate event logistics, planning, and execution cross-departmentally, ensuring deadlines are met and the event is fully executed.
- Maintain comprehensive event planning timelines, providing weekly updates on event status, deliverables, and other relevant information.
- Plan, implement, track, and manage event fundraising initiatives and subsequent marketing/promotional campaigns.
- Meet and exceed budgeted fundraising goals for internal events related to ticket sales, raffles, silent auctions, donations, individual fundraising, and other non-sponsorship streams of event revenue.
- Work collaboratively to solicit and secure sponsorships from $1,000 to $50,000 to reach the sponsorship goals for all internal events.
- Cultivate and solicit in-kind donations for events. This includes prospecting of new donors as well as filtering through past donors to build a master prospect list for auction items, goods, and services for events.
- Event budget tracking and reconciliation for all internal events, including the processing of donated items once received, including data entry, tracking, and organization.
- Collaborate closely with key program and communications staff to determine objectives, programming needs and requirements for events.
- Coordinate vendors and services for events including facilities, catering, signage, audio-visual equipment, displays, collateral and special needs requirements, including virtual platforms for event management.
- Maintain data in Salesforce; leverage database to manage event, payment, and sponsor data.
- Liaise with host committees, speakers, talent, awardees, and external constituents in the planning and production of event programs.
- President Hosted Events: Working with President's executive assistant, ensure all logistics for President Events are coordinated. These include board meetings, hosted events, and the Thought Leadership Series.
- Facility Rentals
- Coordinate all Southface facility rentals, providing exceptional service to external clients.
Giving Programs: (20% of time)
- Support donor and member relationships, track solicitation and stewardship process, and oversee customer service, ensuring effective stewardship correspondence.
- Run reports for stewardship and cultivation outreach.
Admin: (20% of time)
- Process all department gifts in Salesforce and run weekly donor acknowledgements. This includes processing checks received, online gifts/memberships, event transactions, and printing appropriate thank you letters for signature.
Other:
- Performs other duties as necessary.
Qualifications
The successful applicant for the position will meet the following requirements:
- One year of resource development, events, or membership experience is preferred.
- Ability to independently manage multiple tasks, processes, and projects simultaneously, with exceptional attention to detail.
- Excellent organizational and interpersonal skills.
- Exceptional written and verbal communication skills.
- Knowledge of Microsoft Office required, and familiarity with online databases and/or Salesforce experience a plus.
- Diplomatic and confident; able to maintain good relationships with members and donors.
- Team player who is motivated by the mission of Southface.
Physical Requirements
Some light lifting is required to manage events, reposition event furniture, carry supplies, etc.

Hours of Work
Monday through Friday, 8:30 a.m. to 5:30 p.m. with flexible options. Occasional weekend or evening hours.
