Position Overview Reporting to the Director, the Manager is responsible for administrative logistics and event management for the development department. This position will support the fundraising process by serving the needs of Southface supporters. We are looking for someone with great people skills, initiative, and determination. You are diligent with details and accuracy and have a dynamic approach to your work. You are a natural problem solver, always looking to improve upon current processes to improve efficiency.

Responsibilities for the position include but are not limited to:

DATABASE AND DONOR CULTIVATION

  • Serves as the department's database lead (Salesforce). This includes processing checks, online gifts/memberships, event transactions, weekly donor reports and thank you letters.
  • Issuing acknowledgement and tax letters in a timely and accurate manner and supporting the stewardship matrix (track solicitation and stewardship process, and oversee customer service, ensuring effective stewardship correspondence).
  • Maintains, coordinates, and prepares all donor lists for portfolios, audit, annual reports etc.
  • Assists with identifying avenues of philanthropic support and solicitation of funding from individuals, corporations, and organizations to support operations and mission programs.
  • Supports efforts in donor cultivation including proposals, documentation and pledge documents, benefit fulfillment, and renewal appeals.
  • Support development and distribution of cultivation and stewardship content in conjunction with the Communications + Outreach team.
  • Run reports for stewardship and cultivation outreach.
  • Schedules meetings for development office, senior leadership, and board, and maintains meeting notes in database.

EVENT LOGISTICS AND FACILITATION

Events include Visionary Dinner (annual gala), Summer & Winter Solstice (member recognition events), Membership Networking Events, Alumni Gatherings:

  • Coordinates event logistics, planning, and execution cross-departmentally, ensuring deadlines are met and the event is fully executed.
  • Maintains comprehensive event planning timelines, providing weekly updates on event status, deliverables, and other relevant information.
  • Plan, implement, track, and manage event fundraising initiatives and subsequent marketing/promotional campaigns.
  • Meet and exceed budgeted fundraising goals for internal events.
  • Ensures that all events lead through sustainable practices.
  • Works collaboratively to solicit and secure sponsorships from $1,000 to $50,000 to reach the sponsorship goals for all events.
  • Maintains event budget tracking and reconciliation for all internal events.
  • Collaborates closely with key program and communications staff to determine objectives and programming needs.
  • Coordinates vendors and services for events including facilities, catering, signage, audio-visual equipment, displays, collateral and special needs requirements, including virtual platforms for event management.
  • Maintains data in Salesforce; leverage database to manage event, payment, and sponsor data.
  • Liaises with host committees, speakers, talent, awardees, and external constituents in the planning and production of event programs.
  • Maintains list of best practices for internal events, including inventory of catering kitchen, updated list of sustainable caterers, and other key elements for Southface hosted events.

Qualifications

The successful applicant for the position will meet the following requirements:

  • One year of resource development, events, or membership experience and a minimum of two years of administrative support experience is preferred.
  • Ability to independently manage multiple tasks, processes, and projects simultaneously, with exceptional attention to detail.
  • Excellent organizational and interpersonal skills.
  • Exceptional written and verbal communication skills.
  • Diplomatic and confident; able to maintain good relationships with members and donors.
  • Team player who is motivated by the mission of Southface, and has the character, integrity and service orientation to represent the organization.
  • Intermediate or higher-level proficiency with Microsoft Office programs. Experience working with electronic donor tracking systems/databases, ex., Salesforce preferred.
  • Bachelor's degree or equivalent experience is required.
  • Reliable transportation and ability to work in an office environment needed.

Physical Requirements

Some light lifting is required to manage events, reposition event furniture, carry catering supplies, etc.

Hours of Work

Monday through Friday, 8:30 a.m. to 5:30 p.m. with flexible options. Occasional weekend or evening hours.
